We are hiring a detail‑driven Paralegal to run residential (and light commercial) conveyancing files end‑to‑end for an Edmonton‑based law firm. You will coordinate intakes, perform searches, draft/QA all closing documentation, liaise with lenders/brokerages/municipalities/other counsel, and manage registration and post‑closing tasks on tight timelines.
Key Responsibilities
Core (Real Estate)
- File intake/opening, conflicts checks, KYC/IDV, engagement letters, and file closing/archiving.
- Draft, format, and proof: retainer letters, undertakings, correspondence, trust letters, SOA, Closing Funds Summary, payout letters, and final reports using firm templates.
- Calendar/critical date tracking: condition/removal dates, financing, insurance, possession, and registration milestones.
- Searches & diligence: titles and instruments, tax, utilities, estoppel (condo), insurance binders; order and summarize results.
- E‑filing/registration: Land Titles submissions (Alberta), manage rejections, deficiencies, and resubmissions.
- Lender/broker communications: review mortgage instructions, request amendments/conditions, prepare and transmit solicitor’s package.
- Disbursements & trust accounting support: trust requests, payouts, wire/cheque prep, reconciliations; prebills and billing coordination.
- Cross‑party coordination: realtors, brokerages, opposing counsel, municipalities, property managers, tenants/landlords (if applicable).
- Keys/possession logistics and post‑closing follow‑through (e.g., release funds, discharge instructions, follow‑up registrations).
Must‑Have Requirements
- 3+ years of real estate conveyancing experience in Alberta.
- Hands‑on with Alberta Land Titles (registrations/e‑filings) and SPIN2 searches.
- Proficiency with MS 365 and a practice management/billing system (e.g., Clio, Soluno, PC Law, Cosmolex, Actionstep, Elite).
- Proven ability to run: title/tax/estoppel searches, review lender instructions, prepare SOA & Closing Funds Summary, manage payouts and trust letters, and handle post‑closing.
- Exceptional drafting/formatting and deadline management; professional, client‑facing communication.
Preferred (Nice to Have)
- Experience with conveyancing platforms such as RealtiWeb, Prolegis, or Resolve.
- Condo/estoppel experience and light commercial conveyancing exposure.
- Process mindset: creating SOPs/checklists; comfort with KPIs (cycle time, on‑time closings).
Additional Qualifications
